What is Letter Writing? 

Letter Writing has been following from the past generations. It is a way of communication that you can do by getting it printed on paper or also by writing it by hand. But nowadays, it has become easier for people, they are using email, SMS( SMS full form ) and many more ways of communication rather than writing letters by hand. Types of letters 

Basically, the main letters are of 2 types that are formal and informal letters. So, let’s discuss them in detail. 

1) Formal Letters

And also only the necessary information should be included in the letter. The language that is used in formal letters sounds professional. Respected, Regards are some of the words that get used in writing formal letters. 

2) Informal Letters 

Informal letters are letters that are sent to family members and friends. They get sounded very friendly. Moreover, you can write some of these things in letters such as telling about your day and some of the impulsive thoughts. It is much easier to write than the formal letters. For writing informal letters you don’t have to think twice. But you should keep in mind that you can not just put random thoughts.

1. Social Letter

A social letter is a private note sent in honour of a noteworthy occasion. This comprises letters of invitation, congratulations, sympathy, etc.

2. Circular Letter

A circular letter informs a vast audience of information. To advise a large group of a change of address, a change in management, the retirement of a partner, etc., the letter is distributed.

3. Business Letter 

A business letter is for the business purposes such as complaints, orders, etc. The format of this letter has a proper structure and is also written in formal language. 

4. Employment Letter 

The employment letter is basically for getting employment in the companies. This letter has letters like joining letters, offer letters, promotion letters and many more. 

5. Official Letter 

An official letter for the branches, and offices that informs about the official announcements or the informations are shared through it. 

Step-By-Step Guide to Write a Letter

1. Heading: In the upper right corner, type your address (the address of the sender).

2. Date: Type the date immediately after your address.

3. Address of the Recipient: The recipient’s address should be written on the left side after a few lines.

4. Salutation: Start off by addressing the recipient with a kind salutation like “Respected [Recipient’s Name]” or “Hello [Recipient’s Name],”

5. Introduction: Introduce yourself and the reason you are writing the letter in the opening paragraph.

6. Body: Give a thorough explanation of the letter’s purpose in a few paragraphs. For clarity, split your points into distinct paragraphs.

7. Closing: A closing phrase like “Sincerely,” “Best regards,” or “Yours truly,” followed by your name, should be used to sign off on the correspondence.

8. Signature: Leave some space between your signature and your complete name after the concluding statement. Sign your name there if the letter is written by hand.

9. Postscript (optional): Place a “P.S.” after your signature if you want to make one more point.

10. Proofreading: Check for mistakes in spelling, grammar, and punctuation before sending the mail.

11. Attachments: You can make a column for the enclosure. Hence, the enclosure is made for the attachments or documents in which you write that you have attached the things with the letter.
